Team days out, from one minibus to a small convoy

A Betriebsausflug or a day with clients works best when nobody on the team has to think about the transport. Plenty of departments fit in one or two minibuses; bigger ones take a midi-coach or a full coach.

Match the vehicles to the people

Begin with the headcount and who needs to be where. A minibus takes up to sixteen colleagues, a midi-coach roughly thirty, a full coach around fifty. The managing director who flies in after lunch can follow in a car with driver.

Two minibuses are often kinder to the day than one large coach. Each can start from a different office or hotel, and a smaller vehicle pulls up closer to a winery gate in the Rheingau or a lakeside restaurant south of Munich.

Late dinners and an early start

Your driver works within EU limits, recorded by the tachograph. Between two working days the driver needs a long rest, normally eleven hours, so a dinner that ends at midnight and a bus that leaves at seven the next morning do not fit one person.

Tell us the real timetable when you ask, including the evening. The partner operator can then plan a second driver or a fresh vehicle for the morning instead of finding out on the night.

Rules to know before the day

  • A coach driver must take a break of at least 45 minutes after no more than 4.5 hours of driving; it may be split into 15 minutes followed by 30 minutes
  • A tachograph records driving, breaks and rest on vehicles built for more than nine people including the driver

Ideas within reach of the big cities

From Frankfurt, Rüdesheim and the Rheingau are about an hour away, with Kloster Eberbach on the way. Teams in Munich head for the Tegernsee or Kloster Andechs, each roughly an hour out. From Hamburg, Lübeck and Lüneburg are both about an hour by road.

Who decides the route on the day?

You do. When a whole bus is hired with its driver, the hirer sets the purpose, the destination and the course of the trip. Changes during the day are fine within the driver's hours.

Can a guest who arrives late join the group?

Yes. Add a car with driver to the request. It is booked in advance, so send the flight or train number and the address where the team will be.

What should the request include?

The date, how many people, every pick-up and drop-off address, the times that cannot move and any luggage. If the programme has a vineyard, a boat or a castle, name it.
